Understanding User Management and Billing
As an admin user, you have special access to manage who uses our service and how your team is billed. This page breaks down how it all works in simple terms.
User Management
User management is all about controlling who has access to your company's account.
How Users Are Created
When your company first signs up, an initial administrator user account is created. This person then manages everything from there.
There are two main ways users are added:

Initial Sign-up: The very first user for your company automatically becomes an administrator. As part of this process, a dedicated "tenant" (think of this as your company's private space within our system) is set up.

Inviting New Users: As an admin, you can invite new team members to join your company's account. All you need is their email address and the role you want them to have (e.g., standard user, another admin).
When you invite someone:
- We send them an email with a special link.
- They click the link to accept the invitation, set up their password, and fill in some basic details.
- Once they accept, they become an active user in your account.
User Roles
Users can have different roles, which determine what they can see and do within the platform. Currently, only admins can access user management and billing features.
Managing Existing Users
- Viewing Users: You can easily see a list of all users associated with your company's account, including those who are active and those who have been invited but haven't yet joined.
- Updating User Details: Admins can update a user's profile information, such as their name or job title.
- Deleting Users: If someone leaves your team, you can remove their access.
- For invited users who haven't yet joined, their invitation is simply deleted.
- For active users, their account is "soft-deleted." This means their information is marked as deleted but kept for a short period before being permanently removed. This process also ensures all data associated with that user (like campaigns they created) is properly handled or removed.
Billing
Our billing system is designed to be straightforward and automatically adjust based on your team's usage.
How Billing Works
Our service charges based on the number of active users, or "seats," in your company's account.
- Trial Period: New companies typically start with a free trial period. During this time, you can use the service and add users without being charged.
- Subscription Activation: Once your trial ends or you decide to subscribe earlier, you can activate your subscription through a secure checkout process. This links your company's account to our billing system (powered by Stripe).
- Automatic Seat Management: The number of "seats" (active users) you are billed for is automatically kept in sync with the number of active users in your account.
- If you add more users than your current subscription covers, your billing will adjust to include these new seats immediately.
- If you remove users, your billing will adjust for the next billing cycle. You won't be immediately refunded for unused time in the current cycle, but your next bill will reflect the reduced number of seats.
- Customer Portal: As an admin, you'll have access to a dedicated customer portal where you can view your billing history, manage payment methods, and make changes to your subscription.
Subscription Statuses
Your subscription can have various statuses:
- Trial: You're in your free trial period.
- Active: Your subscription is active, and you are being billed regularly.
- Payment Failed: There was an issue with a payment.
- Cancelled: Your subscription is set to cancel at the end of the current billing period. You'll retain access until then.
- Deleted: Your subscription has been fully cancelled and removed.
- Paused: Your subscription is temporarily on hold.
Company Account Deletion
If an administrator decides to delete the entire company account, the following happens:
- Your subscription will be immediately canceled.
- Your company's data will be marked for deletion and held for a short grace period (e.g., 24 hours). After this, all data associated with your company, including all users and their activities, will be permanently removed from our systems.
